Fleet Services Intern

The Fleet Services Intern serves as the administrative and technical support for the Fuel/Fleet Services Department Manager. Principal contact for the department call center, as well as for general phone and email communications for all levels of internal and external customers. Handles all aspects of fuel related services with a high degree of customer service and professionalism.

Essential Duties & Responsibilities:
  • Process’s all fuel card maintenance in multiple operating systems for multiple entities in a timely and accurate manner.
  • Troubleshoot and correct live failed fuel transactions accurately and efficiently and notify all the correct parties necessary.
  • Process fuel errors in multiple operating systems and provide driver and operations training to avoid future errors.
  • Maintains Unit pool with fuel card vendor.
  • Maintains daily and monthly reports related to usage in compliance with regulations and assists field with the same.
  • Works with internal safety department and our environmental consultant for any compliance issues.
  • Works with fleet maintenance shops and outside repair vendors on necessary repair issues.
  • Receive and compile reporting for daily fuel order projections.
  • Receive and compile daily fuel quotes for bulk fuel orders.
  • Communicates fuel orders to various vendors as well as track expected incoming inventory.
  • Receive, check for accuracy, prepare and submit bulk fuel invoices for payments.
  • Maintains detail of deliveries with extreme accuracy.
  • Prepares checks for accuracy and processes invoices for payment for various fuel department related issues according to set schedules and process.
  • Track and obtain missed invoices with in specified financial periods.
  • Assists on projects and other administrative duties as needed.

Experience, Education, and Training:
  • Working towards a BA or BS Degree
  • Excellent oral and written communication skills
  • Strong organizational skills
  • Experience with MS Office Applications (Outlook, Word and Excel)
