Finance Coordinator

About the Job
- Assist with job opening responsibilities, including scanning and linking documents to project numbers in PeopleSoft.
- Coordinate with account staff to garner required documentation to support project requests.
- Collection and Allocation of Invoices – Maintain the vendor spreadsheet. Track vendor invoices, code and process. Work with AP dept. to ensure the invoices are paid out in a timely manner.
- Creation of monthly Telephone & DMS charge allocations.
- Centralized Responsibilities– create weekly reports including timesheet, WIP, accounts receivable, and communicate to NA offices.
- Communicate end of month timesheet snapshots to senior leadership.
- Maintenance of various finance mailboxes, identifying trends among questions and issues, recommending long term solutions to recurring issues
- Attend and participate in weekly/monthly team meetings.
- Provide timely follow-up and fielding questions for assigned areas. This may involve unique situations where each assignment must be handled differently and use judgment and discretion to address questions.
- Develop and maintain strong, reliable working relationships.
- Focus on service by completing assigned responsibilities accurately and on a timely basis.
- Ensure assigned processes are running efficiently and effectively; alert managers when issues arise.
- Establish and maintain excellent relationships with staff and finance team members at all levels within Ketchum.
- Ad hoc requests as needed.
Qualifications
- Minimum 1 year of experience working in Public Relations, Media, or Advertising finance department.
- Finance experience in an agency or professional services firm a plus.
- Experience using Excel (pivot tables, VLOOKUP’s) and proficiency in Microsoft Office required.
- Experience in finance systems preferably PeopleSoft.
- Excellent written and verbal communication skills.
- Ability to work in a group as well as independently and maintain confidentiality.
- Working knowledge of business, finance and accounting fundamentals including U.S. Generally Accepted Accounting Principles (GAAP) and Sarbanes Oxley.
