Administrative Manager - Seaver Autism Center - Icahn School of Medicine at Mount Sinai

The Seaver Autism Center for Research and Treatment in the Department of Psychiatry at the Icahn School of Medicine at Mount Sinai is a fully integrated translational research center dedicated to discovering the biological causes of autism spectrum disorder (ASD) and other neurodevelopmental disorders and developing breakthrough treatments. Our mission is to bridge the gap between new discoveries at the basic science level and clinical care by developing new and improved approaches to autism diagnosis and treatment. The Seaver Autism Center is committed to serving individuals of all levels of functioning and takes a unique genetics-first approach to autism research.
 
We are seeking a talented, enthusiastic and self-motivated individual to join our team as an Administrative Manager. The Administrative Manager is responsible for business operations of the Center, including management of the Center’s grant and overall financial portfolio. The position also oversees day-to-day operations of the Center, leads the Center’s fundraising initiatives, and oversees all administrative team activities.
 
  • Management of Center’s complex financial portfolio, including funding from external sponsors (e.g., NIH, Foundations), philanthropy and other sources. Specific tasks include: monitoring spending, review of monthly financial reports, preparing financial projections and reports to individual investigators, and processing transactions.
  • Management of Center’s grant portfolio, including pre- and post-award activities. Specific tasks include: grant preparation, interaction with sponsors, budgeting and award set-up. 
  • Oversee Center’s fundraising activities, including management of Associates Board, donation tracking, donor stewardship and special event planning.
  • Facilitate staff recruitment process, including assistance with job description preparation, candidate screening and on-boarding of new employees.
  • Manage Center’s administrative team, currently consisting of: one program coordinator, one program associate, laboratory supervisor and communications and marketing associate.
  • Provide guidance and support for communications, marketing and outreach initiatives.
  • Provides leadership and support for Center initiatives and events. E.g., Annual Site Visit, Annual Conference, fundraisers.
  • Interprets and administers personnel policies such as hiring, performance appraisals, training, staff disciplinary activity and salary recommendations. 
  • Analyzes internal processes and plans or implements procedural and policy changes to improve operations.
  • Performs other related duties.
 
Requirements:
  • Bachelor’s degree in business or public administration or related field, Masters preferred
  • 7-10 years experience in an administrative or management capacity
  • Experience in a research or academic medical center environment preferred
  • Strong leadership and problem-solving skills
  • Excellent written, oral and interpersonal communication skills
  • Ability to work with all levels of staff
  • Experience working on cross-functional teams
  • Knowledge of operational analysis and decision-making techniques for resource allocation and organizational effectiveness
