Marketing Project Specialist

Join our Marketing team as a Project Specialist and focus on the day-to-day coordination of all marketing projects, including brand management (marketing) projects and internal client project requests. This role is responsible for project intake, resource allocation, timelines, and budgets. This specialist will also be a key partner to the Science Museum’s sponsorship department ensuring that all sponsor requirements are fulfilled. In addition, the position will also act as the final quality assurance point of contact for all of projects produced by SMM.

This position is critical to maintain the project flow within SMM’s marketing department, which will then allow marketing leadership to focus on annual strategy and planning.

Work Environment: Fast paced, collaborative office setting.

Job Duties & Responsibilities:

  • Initiate and create all brand management projects that are core to overall promotion of the museum and special initiatives (exhibits, films, etc.)
  • Review, assign or re-direct project requests to the correct marketing team resource(s).
  • Maintain and update all records of work-in-progress through project management and markup tools, including tools like “SmartSheets”, “Hightail” and through any other production calendar formats ultimately chosen.
  • Works with Marketing Brand Manager to assign projects, secure creative direction and inform of progress and problems.
  • Set and ultimately re-order the priority of work based on decisions coming from the Marketing Brand Manager or from team project meetings.
  • Ensure creative groups receive all appropriate information by reviewing all requests to verify they are clear and supported by enough background information to be fully executable by the team
  • Act as the main point of contact for sponsorship fulfillment. This position will ensure that all fulfillment requirements are met.
  • QA/Proofreader: Proofread and review all marketing materials for quality assurance, prior to production.
  • Perform cost management and purchase order management tasks in alignment with assigned budget.
  • Assist the Marketing Brand Manager in other ways not listed here that allow leadership to remain strategically focused on the purpose and outcomes of all marketing initiatives and partnerships.
  • Performs other related duties as assigned.

Minimum Qualifications:

  • Bachelor's degree in Communications, Marketing, Journalism, Business Administration or equivalent.
  • Proven experience in marketing communications, project management or other similar field.
  • Demonstrated experience managing marketing specific projects.
  • Proven history working with print and digital marketing deliverables.

Preferred Qualifications:

  • Cultural competency and experience working with diverse communities.
  • Willingness to be open and respectful of all backgrounds.
  • Fluency in language(s) other than English valued (Hmong, Somali, Spanish).
