Admissions Assistant


SUMMARY

Support the goals and objectives of a high-volume admissions team and the University as a whole. Responsible to provide support to the admission cycle, including processing of applications for admission, coordinating interview days and prospective student visits, managing incoming and outgoing communications, as well as business-critical processing. Provide a high level of professional, courteous service to DMU stakeholders (prospective and current students, advisors, alumni, faculty and staff) as it relates to the admission process.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

 


  • Manage communications for the admissions office through a variety of channels, including but not limited to email, phone, and online chat. Process an initial quality screen for applications, with a high degree of accuracy in a timely manner.

  • Work collaboratively to maintain accurate applicant files for all programs according to specific program requirements and procedures from time of application through final status as assigned.

  • Comprehensive understanding of admission funnel and applicant statuses, including when status changes are required/appropriate, and with timely completion.

  • Record and maintain prospective student information from point of inquiry to point of application within admissions CRM.

  • Partner with team and programs to coordinate interview days; prepare files, coordinate student ambassador/tour guide participation, schedule faculty interviewers, produce handouts and informational packets for candidates, and be available to assist candidates and provide tours throughout interview days.

  • Coordinate planning of on-campus events for prospective students and/or advisors on an individual or group basis (e.g. scheduling presenters, reserving rooms, inviting and confirming visitors, catering.)

  • Ensure quality collection, tracking, and finalization of materials and participate in onboarding of accepted students and closing of application cycle to meet university auditing and accreditation requirements in coordination with larger team.

  • Read and interpret transcripts to determine prerequisite coursework requirements, GPA calculations, degree conferment, and other nuances.

  • Participate in creating a positive prospective student experience.

  • Compile data to produce accurate and timely reports.

  • Maintain an adequate supply of admissions materials and office supplies, and oversee the tracking of inventory.

  • Research information on health professions advisors, health science faculty, alumni, health care professionals and other influencing agents, and assist in maintaining current information in database.

  • Prepare enrollment materials for graduate/professional school fairs, college visits, campus open houses, etc., as requested.

  • Keep co-workers and supervisor apprised of task status for smooth coverage in the event of absence.

  • Maintain a neat, professional office environment that will project a positive image to visitors to the University.

  • Participate in and successfully complete all University training including, but not limited to discrimination/harassment and code of conduct.

  • Perform other job related duties and special projects as assigned.

EDUCATION AND/OR EXPERIENCE

  • Bachelor’s degree required.

  • Two years of related experience required.

  • Experience in Admissions or higher education a plus.

 

ESSENTIAL SKILLS

  • Excellent interpersonal, time management, and organizational skills.
  • Strong attention to detail with the ability to handle multiple tasks simultaneously.
  • Ability to work with highly confidential information.
  • Advanced user knowledge and skills across multiple technology platforms (Excel, Outlook, CRM, imaging software, cloud-delivered software, etc.).
  • Intermediate math skills.
  • Able to communicate effectively and efficiently in a manner appropriate to the intended audience; emphasis on good verbal and written communication skills
