Employer Recruiting Specialist

The Employer Recruiting Specialist provides support to the Employer Relations team of a busy, year-round Career Center, including regularly being the first point of contact for employers, students, alumni, and staff engaged in the recruitment process. Independently manage on-campus interviews, working with both employers and students. Support recruiting events such as the university career fairs and employer campus visits. Analyze recruiting data and provide metrics to the Director and Executive Director of the Career Center for Villanova senior leadership, the Advancement Office’s key stakeholders, current Villanova recruiting partners and prospective employer partners. Position requires attention to detail, ability to juggle multiple tasks simultaneously, extensive communication with employers, students and campus partners, and a high level of professional customer service. Position also requires early morning and evening coverage on occasion during busy recruiting seasons.

  • Duties and Responsibilities:Independently manage 150+ employers’ interview schedules and 2,000+ on-campus interviews.
  • Monitor all employer and student data in Handshake, our career management system, and master on-campus interview scheduling module to ensure interview applications and schedules run smoothly.
  • Work with the Industry Advising team to answer and troubleshoot any employer questions about interviews and serve as main point of contact for students interviewing on campus.
  • Serve as liaison with the University Advancement Office to communicate when alumni are participating in on campus interviewing.
  • Regularly evaluate ways to streamline and improve the on campus interview processes.
  • Inform and train student workers and staff members regarding the recruiting process.
  • Oversee the employer approval process for a large volume of employers (upwards of 100+/month during the recruiting season) who are requesting employment privileges and services through Handshake.
  • Manage job/internship postings on Handshake (50,000+ per year).
  • Support the Industry Advising team in driving revenue for the Career Center through the Employer Sponsorship Program.
  • Work with the Associate Director, Digital Media and Assessment on sponsorship deliverables.
  • Train student office assistants on employer and job approval processes and respond to employer inquiries regarding these postings.
  • Under direction of the Employer Recruiting Manager, provide support for employer and on-campus recruiting events. Conduct employer outreach to increase attendance at 4+ career fairs per year.
  • Manage career fair registration process for 250+ employers.
  • Assist with career fair logistics, financial reports, marketing and pre-career fair events.
  • Respond to all employer inquiries about day-of needs.
  • Analyze recruiting data and provide insights by producing a variety of employer and student recruiting reports for Career Center leadership team to share with academic colleges and university administration. Extensive use of Handshake and Microsoft Excel to gather data and create reports. Utilization of good design principles to format public reports to Career Center brand.
  • Support Industry Advising team in informing students, staff and faculty of Career Center recruitment activity.
  • Create weekly bulletins including upcoming events, on-campus interviews and deadlines to be distributed to each college’s deans, faculty and staff.
  • Generate content including upcoming events, interview deadlines and upcoming job deadlines for weekly student newsletter.
  • Perform other duties and assist with projects as assigned.



Minimum Qualifications:

  • Bachelor’s degree required.
  • 1+ year office experience in academic or business environment via combination of internships and/or full-time work experience.
  • Excellent verbal communication, phone etiquette and email communication skills.
  • Demonstrated customer service skills.
  • Ability to manage multiple tasks simultaneously with extensive attention to detail.
  • Demonstrated computer aptitude and skills to work in job posting software systems (currently using Handshake) and Microsoft Office (Word, Excel, PowerPoint, Access, Microsoft 365).
  • Use and understanding of social media.
  • Experience working with diverse populations.



Preferred Qualifications:

  • Experience with student record systems (i.e. Banner) preferred.
  • Experience with managing data, reporting and design software is a plus.
