External Affairs Coordinator

Position Overview 
The External Affairs Coordinator (Coordinator) is responsible for supporting Uncommon’s external engagement and communication work. The Coordinator works with the Development and External Affairs teams, and occasionally the Marketing and Media teams, to advance our external-facing work and initiatives, including supporting donor relationships and visits, external communications, coordinating external events and professional development sessions, and team administrative responsibilities. The Coordinator is responsible for supporting Uncommon’s work with donors and other external stakeholders.
Essential Duties and Responsibilities
The position requires a smart, detail-oriented, hard-working team player who approaches mission-critical projects and mundane details with equal enthusiasm and efficiency. 
Projects may include, but are not limited to:
  • Manage donor tracking, grant processing and mailing acknowledgment letters to donors using the donor database
  • Coordinate school visits for donors and other high-level stakeholders
  • Source local media and disseminate daily Newsblast email to Uncommon leaders
  • Provide logistics support for events (e.g. advocacy rallies, donor breakfasts, professional development workshops for district partners)
  • Provide general team support
  • Meeting scheduling
  • Managing team credit card expenses
  • Supply ordering
  • Manage invoice process for all vendors that the Marketing, Development, Media and External Affairs teams partner with for team purposes
  • List management of stakeholder database, ensuring data entry and data integrity in databases
  • Conduct research in advance of external stakeholder visits and provide Uncommon Schools Leadership Team and/or School Leaders with appropriate preparation and external stakeholder research using internet research tools
  • Collaborate with the Development, External Affairs, Media and Marketing Teams on additional special projects, as needed

Qualifications

Required knowledge, skills, and abilities  
  • Passionate commitment to the mission of Uncommon Schools;
  • Very strong organizational skills and time management; strong attention to detail and follow-through; 
  • Excellent interpersonal and communication skills;
  • High sense of urgency; demonstrated ability to successfully handle multiple projects concurrently;
  • Proficient computer skills, including Microsoft Excel, PowerPoint, Word and Outlook;
  • Open to and appreciative of frequent feedback;
  • Ability to thrive independently with a high degree of autonomy, as well as in a cooperative, diverse group with specific, set objectives;
  • Ability to effectively work remotely with both coworkers and vendors 
Minimum Educational Level
  • Bachelor’s degree required
Experience Required  
  • 1-3 years of relevant work experience.
