Construction Program Coordinator
CONSTRUCTION PROGRAM COORDINATOR
I. Responsible for Program coordination, including:
- Managing and coordinating ongoing pre-development, construction and post-construction activities related to multiple development sites, including coordination with expeditors, architects, engineers, attorneys, municipalities, builders, grantors, etc.
- Creating and maintaining development budgets, schedules, and work plans, including deliverables lists and due dates that comply with grant and contract requirements.
- Regularly monitoring development progress and milestones against work plans, budgets, and established goals and reporting to management.
- Working closely with contractors and subcontractors to ensure that developments are built according to development designs, budgets, and schedules, and confirming the quality and timeliness of work.
- Managing communication of expectations for development goals to all internal and external personnel and documenting actual results.
- Ensuring that all contractors and subcontractors provide required insurance and other documentation and follow all procedures as specified in their agreements.
- Assisting with the timely and accurate creation of program documentation including, but not limited to: progress spreadsheets, contracts, grant vouchers, AIA forms, applications, completion photos, budget-to-actual worksheets, close-out documentation, etc.
- Assisting with program reporting, as required under program guidelines and agreements with funding sources, including M/WBE and other client reports.
- Assisting with the writing and submission of grant proposals and funding requests related to the program.
- Solving problems and resolving issues through face to face and personal communication.
- Outreach and marketing, including coordination of and representation at events and outreach gatherings.
- Maintaining accurate and complete files and records.
- Travel across Nassau and Suffolk counties, as needed.
II. Miscellaneous
- Provide research, data analysis, and reports, as requested.
- Respond to requests for information regarding program activities.
- Participate, as directed, in certain other administrative/support activities of the agency as assigned by the President/CEO or Executive Vice President/COO
III. Program Coordinator candidates must possess the following:
- Previous experience administering or supervising a program
- Computer proficiency, particularly a working knowledge of MS Office Suite
- Understanding of construction rehabilitation and/or development work, including pre-development activities
- Familiarity with property management, planning, and municipal codes and/or code violations within Nassau and Suffolk counties
- Excellent interpersonal and communication skills, both oral and written
- Strong organizational skills
- Ability to work independently with minimum supervision as well as within a team
- A valid driver’s license and car and willingness to commute across Nassau and Suffolk counties, as needed
- Previous financial management experience a plus
