Financial Aid Systems Analyst

About us: Nicolet College, is a comprehensive two-year college located on the shores of Lake Julia in Wisconsin's beautiful North Woods region. We are seeking a thoughtful, innovative, enthusiastic, and customer-focused professional to join our Financial Aid team as we pursue continuous improvement, high integrity, and transformational customer service in our Financial Aid Office.
 
Under the direct supervision of the Financial Aid Manager, the Financial Aid Systems Analyst is responsible for managing, developing, and ensuring the integrity of Financial Aid systems and processes, as well as tracking and administering student financial aid records and providing student support through the financial aid process. The Financial Aid Systems Analyst will work collaboratively as part of a small team in the Financial Aid Office.
 
Essential Duties and Responsibilities:
The following duties are normal for this position. These are not to be construed as exclusive or all‑inclusive. Other duties may be required and assigned.
System and Data Analysis
·        Lead system upgrades, improvements, trouble shooting, and testing.
·        Daily management and annual set-up of PowerFAIDS financial aid software.
·        Recommend and implement procedural changes, office and technical process changes, and automation initiatives to improve efficiency and service to students in compliance with federal, state, and board regulations.
·        Serve as the department liaison with Nicolet’s Information Technology (IT) team.
·        Identify data requirements and work with IT to develop queries and write corresponding programming code. Manage system functionality based on regulatory changes and internal needs.
·        Develop, utilize, and maintain accurate reports.
Process Student Financial Aid
·        Responsible for loading and validating student records, corrections and system generated files into PowerFAIDS.
·        Independently process financial aid adjustments and cancellations in accordance with student eligibility, regulation, and policy.
·        Collect mandated items in compliance with the Department of Education requirements for verification.
·        Verify information reported on Institutional Student Information Record (ISIR) and make necessary corrections. Confirm corrections prior to disbursement of funds.
·        Package student financial aid awards following federal and state guidelines and record other aid and scholarships into student accounts.
·        Initiate various award notifications and communications.
·        Process and report financial aid information for consortiums and shared programs.
Student Interaction
·        Inform students of their financial aid eligibility, provide financial aid information, troubleshoot technological challenges, and answer related questions.           
·        Assist students with filing their Free Application for Federal Student Aid (FAFSA) electronically including occasional outreach services.
·        Refer students to other college departments and community agencies that provide additional support services.
Other
·        Assist with state and federal audits and implementation of recommendations.
·        Create, scan, and maintain accurate student files.
·        Update correspondence, forms, and other communications.
·        Travel for professional development, committee meetings, and conferences occasionally.

·        While performing the duties of this job, the employee will be exposed to normal office conditions and usual office equipment such as telephone, personal computer, printers/copiers, reports and files.
·        The employee will be constantly required to sit, talk, hear, and type/write.
·        The employee will be frequently required to stand, walk, touch/handle/grasp (using hands and fingers), and reach with hands and arms.
·        The employee must occasionally bend or squat and lift and/or push up to 25 pounds of general office items.
·        Specific vision abilities required by this job include close, far, and field of vision.
·        This position requires regular and punctual employee presence.
 
Required Qualifications:
·        Associate Degree in Information Technology or related field.
·        Minimum of one (1) year of experience working in an office setting, customer service, or IT role.
·        Proficiency with Microsoft Word and Excel.
 
Preferred Qualifications:
·        Knowledge of financial aid requirements and procedures, federal and state laws, rules, and regulations.
·        Advanced skill using Microsoft Word and Excel.
·        Experience using Financial Aid processing systems and scanning software.
·        Able to exercise good judgment, courtesy, and tact in receiving all callers via telephone, correspondence, or in person, making proper disposition of questions, concerns, and/or problems.
·        Experience providing customer service in a fast-paced, multi-faceted environment.
·        Able to analyze information, evaluate results, and solve problems.
·        Excellent planning and organizational skills, with strong attention to detail.
·        Able to work independently, proactively, and be self-directed and self-motivated.
 
Compensation:
The full pay range is $22.05 to $29.19 per hour. The typical starting range is $22.05 to $23.84 per hour, commensurate with qualifications and experience. Includes a comprehensive benefits package.
