Summary
The Association of Public and Land-grant Universities (APLU), a research, policy and advocacy organization dedicated to strengthening and advancing the work of public universities in the US, Canada and Mexico, is seeking an associate to provide administrative support to the Office of STEM Education and Research Policy. The incumbent will perform a broad array of tasks to ensure effective office operations and project management, including coordinating calendars, updating the APLU database, preparing expense reports, and supporting conferences and events. The successful candidate will have strong writing skills, be detail-oriented and well-suited to work a fast-paced environment. Background
APLU is a research, policy, and advocacy organization dedicated to strengthening and advancing the work of public universities. With a membership of 241 public research universities, land-grant institutions, state university systems, and affiliated organizations, APLU's agenda is built on the three pillars of increasing degree completion and academic success, advancing scientific research, and expanding engagement. Annually, member campuses enroll 4.9 million undergraduates and 1.3 million graduate students, award 1.3 million degrees, employ 1.3 million faculty and staff, and conduct $44.9 billion in university-based research.

APLU’s STEM Education and Research Policy office manages APLU’s Council on Research (university vice presidents and associate vice presidents of research), as well as a broad array of federally and privately funded projects to increase student success in Science, Technology, Engineering, and Mathematics (STEM) education. Current projects include (but are not limited to) the Network of STEM Education Centers, Math Teacher Education Partnership, and SEMINAL.

Responsibilities
The position’s primary duties and responsibilities will include, but not be limited to, the following:

Schedule and meeting coordination
·        Monitor staff calendars, schedule meetings including appropriate online connections, communicate meeting agendas, and providing meeting minutes when necessary.
·        Manage calendar of APLU Executive Vice President, including travel planning.

Finance support
·        Draft and monitor contracts, communicate as necessary with contractors to ensure timely payments and reporting.
·        Prepare expense reports and reconciliations as well as coordinate invoices/reimbursements.
·        Support coordination of the office and Finance by distributing project invoices, receiving and processing reimbursement requests from dozens of meeting attendees, maintaining contact information.

Event planning
·        Lead administrative and logistical planning of the office’s conferences, meetings, and events, including office sessions at the APLU Annual Meeting, annual summer project meetings of the Council on Research (~150 attendees) and several smaller project meetings each year
·        Support development of meeting budgets and work with vendors.

Communication coordination
·        Manage member and project leader contact information in APLU databases.
·        Draft emails and other documents as requested.
·        Update project and council webpages as necessary.

Preferred Qualifications
·        A bachelor’s degree or equivalent professional experience.  
·        Experience working in an office environment.
·        Excellent interpersonal, written and verbal communications skills.
·        Demonstrated desire to learn about and participate in the successful management of federally and privately funded projects focused on increasing student success in STEM education.
·        Experience coordinating tasks associated with complex, multi-faceted projects.
·        Ability to take direction from and communicate with multiple team members to keep track of activities and priorities on multiple projects. Ability to make sound decisions.
·        Ability to balance multiple tasks and priorities, identify problems, meet deadlines, and bring any issues to the attention of the appropriate team members.
·        The ability to maintain poise, professionalism, focus, consistency, and accuracy under pressure.
·        Demonstrated organizational skills, attention to detail, problem-solving skills.
·        Experience with Office365 highly preferred, including Microsoft Teams, Planner, and SharePoint.
·        Experience managing virtual meetings, especially via Zoom.
·        Experience using a customer relations management (CRM) system and
·        Commitment to the work of APLU and the Office of STEM Education and Research Policy.
·        Ability to travel domestically 5+ times each year, especially during the summer months and November (for the APLU Annual Meeting).
