The Managing Attorney’s Office (MAO) at the New York State Office of the Attorney General (OAG) is seeking a Supervising Docket Clerk (SDC) to oversee a team of five clerical staff and their work product. The SDC position will be located in New York City and will report directly to the Managing Attorney.
The Managing Attorney’s Office (MAO) is primarily responsible for accepting service of papers on the Attorney General’s Office (OAG) and coordinating papers to be filed with the State and Federal Courts within the metropolitan area. Additionally, the MAO provides guidance to the OAG staff on the State and Federal Rules of the courts.
The SDC’s duties and responsibilities will include but not be limited to the following:
  • Supervising MAO’s team of five clerical staff, including delegating work; proofreading data input into computer systems for accuracy; ensure assigned work is completed accurately and on time; scheduling clerical team members for court runs; and overseeing the receipt of personally served documents on the MAO and assisting the clerical team with determining where to route these;
  • Managing the day-to-day functions of the MAO, including providing the Managing Attorney with recommendations to streamline current business processes to improve the efficiency and productivity of the clerical team;
  • Learning the OAG’s case management system and providing training and user support to employees;
  • Overseeing and performing data entry into the computerized docket system; information from court documents, correspondence, rules and statutes; researching dates when necessary to supplement automated information;
  • Responsible for learning and demonstrating a knowledge of court rules and procedures in several jurisdictions;
  • Monitoring and maintaining MAO’s resources on court rules and procedures;
  • Assisting the Managing Attorney with communicating docketing policies and procedures to OAG attorneys and legal support staff, and coordinating with staff in the legal bureaus to address any associated problems or concerns;
  • Developing and managing an internal timetable for handling and clearing the docket system;
  • Providing general and/or specialized docket reports as requested; and
  • Communicating with the public who appear to serve documents on the OAG.
Suitable candidates must possess the following qualifications:
  • A bachelor’s degree and/or a paralegal education with at least two years of relevant law firm work experience is required;
  • Prior experience supervising, mentoring and coaching employees is also required;
  • Strong working knowledge of local, state and federal court rules, procedures and requirements and an understanding of the environment and enthusiasm for the challenges of providing complex services in a law firm setting;
  • Excellent interpersonal communication and presentation skills;
  • Outstanding customer service, organizational, problem solving, and teamwork skills;
  • Highly developed technological and data management skills, including knowledge of and experience using calendar management software, MA3000 and the MS Office Suite;
  • Readily interpret and assimilate instructions and new information presented either in written or oral form;
  • Discrete with sound judgement and the ability to adhere to the OAG’s confidentiality standards; and the
  • Ability to work independently with minimal direction from the Managing Attorney.
