The Environmental Assessment Program (EAP) is looking to fill a Forms and Records Analyst (Forms and Records Analyst 2) position. This position is located in our Headquarters building in Lacey, WA.

This position will interact with the agency's Records and Information Management Lead and Information Governance Manager, the PMA, and the EAP administrative support team. The position will also interact with the EAP management team, EAP staff, other program/facilities staff, and the general public.

Duties
 
 

Ecology's mission is to protect, preserve, and enhance Washington's environment, and promote the wise management of our air, land, and water. Ecology's goals are to prevent pollution, clean up pollution and support sustainable communities and natural resources.

The mission of the Environmental Assessment Program (EAP) is to measure, assess, and communicate environmental conditions in Washington State. 

Some of the key work activities of the Forms and Records Analyst include:
  • Responds to public disclosure requests from staff, other governmental agencies, and the public.
  • Develops and maintains paper and electronic files and records management systems.
  • Coordinates with Program and Agency Records Officer on the review and development of record retention schedules and records disposition.
  • Provides professional forms and records management services to the program.
  • Supports the Operations Center.
  • Responds to Public Disclosure Requests in a timely and efficient manner.
  • Determines proper disposition of records – archival and non-archival.
  • Monitors litigation holds of EAPs records.
  • Performs secretarial work when needed.
  • Manages and organizes the central file room.
  • Solves very complex public disclosure requests (at times).
  • Clarifies to staff about records retention schedules.

Note: This position handles Public Disclosure which includes dealing with challenging customers/situations at times.

As this position includes administrative back-up duties, the work schedule is non-negotiable. Work hours are 8am – 5pm, Monday through Friday. Lunch break is scheduled at 12:30pm - 1:30pm.

Qualifications


Required Qualifications:
 
An Associate's degree in business administration, accounting, industrial engineering, or a related field.

OR

High school graduation or equivalent AND three years of experience in records management that utilizes records retention procedures for both paper and electronic files.
 
AND

Experience with handling confidential information, ability to discern/recognize confidential issues and the ability to keep matters confidential when appropriate.
 
 
Desired Qualifications:
 
  • Two years of experience in a progressively responsible work environment involving public contact.
  • Familiarity with State of Washington records retention schedule and procedures.
  • Experience in providing clerical and technical support to staff and management.
