ACE: Records Management Fellowship - State Tribal, and Local Plans and Grants (STLPG)

Summary: American Conservation Experience, a nonprofit Conservation Corps, in partnership with the National Park Service is seeking one Records Management Fellow to primarily assist STLPG (State, Tribal, Local, Plans & Grants) division staff with cultural resource programs through grants to states, tribes, territories, and other eligible recipients that support the preservation of America's historic places and diverse history.  
 
Start Date: Spring 2020 (can be flexible for the right candidate)
End Date: 52 weeks from the start date
A minimum commitment of 52 weeks is required*

Living Allowance: The ACE Fellow is anticipated to complete 40 hours/week and receive a living allowance of $1000/week to cover the costs of food, housing, and incidental expenses, dispersed bi-weekly.
 
Housing: Housing is the responsibility of the fellow and not provided by ACE or NPS. A housing allowance is available to partially offset housing costs. 
 
Position Description: State, Tribal, Local, Plans & Grants Division (STLPG) is a national program at National Park Service (NPS) headquarters office that supports cultural resource programs through grants to states, tribes, territories, and other eligible recipients. The source of funding for the grants is Congressional appropriations from the Historic Preservation Fund. The fellow will work directly with NPS staff in parks and/or programs around Washington, DC to investigate various alternatives required for the proper storage and retention of existing and future record collections, as identified within the NPS Records Retention Policy.
The ACE Fellow:
  • Performs extensive cataloging of newly and previously submitted grant products in the NPS digital repository. Creates and updates cataloging tracking spreadsheets. Reports cataloging progress on a regular basis
  • Appraises and arranges Federal records, assists with transferring records to Federal Records Centers and/or the National Archives
  • Assists with the evaluation, storage, organization, and accessibility of electronic records to ensure quality and adherence to accepted records management practices
  • Coordinates and carries out recommendations for digitization of records, architectural plans and specifications, and other grant products
  • Coordinates digitization efforts for special media formats including slides and microfiche, as well as audiovisual materials
  • Plans, organizes, and promotes records maintenance and disposition within the division
The Fellow will have the opportunity to:
  • Learn records management and archival best practices for managing cultural resource collections and Federal records
  • Acquire skills in appraising, arranging, and inventorying collections of Federal records
  • Apply knowledge of records management disposition schedules and procedures when transferring records to Federal Records Centers and/or the National Archives
  • Coordinate records management activities with staff members when processing complex collections
  • Ensure smooth, efficient, legally-mandated, and safe collections storage, retention, and disposition for Federal records
  • Liaise with staff in the National Park Service Washington Support Office, additional NPS offices, and/or the National Archives and Records Administration
  • Perform limited research, prepare various written materials including records transfer documentation, overviews of records series, container lists, procedures and guidelines
 
Training Provided: In addition to the operational responsibilities, there will also be an important educational component. Training opportunities may include:
  • Archival and collections management specific practices for the National Park Service program operations of the Cultural Resources Directorate, STLPG division.
  • NPS archival resources that are available for research use 
  • Site tours of NPS and National Archives repositories in the Washington, DC area, and of selected National Parks in the Washington area that maintain large bodies of archival materials (possible)
  • Leadership and project management skill development
 
Qualifications: Applicants for the position should hold a bachelor's degree (or higher) in historic preservation, museum studies, public history, library science, or similar preferred and/or experience in archival policies, cataloging, research methodologies, or collections/ records management.
Required:
  • US Citizen or Permanent Resident
  • Ability to perform the essential duties of the position with or without reasonable accommodation
  • Must be 18-35 years of age (This position's age limitations are a requirement of the Public Land Corps Act. Additionally, members must be 21+ to apply for an ACE position that requires or anticipates operation of agency or ACE vehicles for duties.)

  • When driving is required valid driver's license and an insurable driving record are necessary.

  • Willing to undergo and must pass a federal criminal background check
  • Willing and able to represent ACE and the partner organization in a professional, positive, and enthusiastic manner. 
  • Able and willing to work in an office setting at a computer
  • Perform quality assurance and quality control on databases, particularly related to cataloguing
  • Must be resourceful, adaptable, and able to work comfortably alone or in a group.
Preferred:
  • Strong archival cataloging and processing skills
  • Effective communication skills with all ages and diverse audiences
  • Knowledge and use of social media in a professional context
