Secretary, Elementary Principal (Bookkeeper)

   Secretary, Elementary Principal

Essential Functions:
Clerical Services
Major Responsibilities:
  1. Demonstrates prompt and regular attendance.
  2. Writes and answers all correspondence as directed by the Principal.
  3. Prepares required reports and necessary school forms.
  4. Maintains a regular filing system, as well as a set of confidential files and processes incoming correspondence as directed.
  5. Places and receives telephone calls and records messages.
  6. Orders and maintains supplies as needed.
  7. Welcomes visitors and makes appointments.
  8. Collects and compiles needed information.
  9. Operates all office machines/equipment.
  10. Assembles all materials needed for opening of school.
  11. Arranges for the distribution of notices, memoranda, directives or related information.
  12. Keeps accurate records of all staff members’ absences.
  13. Prepares reports of monthly fire drills for the public safety agencies.
  14. Manages and keeps instructional budget for school.
  15. Prepares purchase orders for the instructional budget.
  16. Acts as registrar in maintaining student information system data.
  17. Maintains all banking reports, records and accounts.
  18. Makes daily banking deposits for school funds.
  19. Assists with the scheduling for the coming year.
  20. Performs other duties as assigned by the Principal.                   
Qualifications:
Education:
  • High school graduate.
Experience:
  • Three (3) years experience as secretary.
Physical Demands:
While performing the duties of this job, the employee is almost continuously required to sit, and talk or hear. The employee occasionally is required to walk and stand. The employee is occasionally required to reach with hands and continuously will repeat the same hand, arm or finger motion many times as in typing. Specific vision abilities required by this job include close vision, depth perception, and the ability to adjust focus.
Work Environment:
The noise level in the work environment is acceptable to this particular environment. However, the noise level can vary depending upon daily activity but will still remain within the acceptable noise level range. The employee continuously is interacting with the public, staff and students. The employee frequently will be required to meet multiple demands from several people.
Skills, Knowledge, Abilities:
  1. Maintains confidentiality with administrative information.
  2. Ability to work successfully with school personnel and students.
  3. Good typewriting ability.
  4. Bookkeeping skills.
