Coordinator of Scholarships and Donor Relations

Purpose: To manage the scholarship process, review, awarding to students and act as the point of contact for scholarship related activities. This position is responsible for donor outreach, development of donor programs and growth of numbers of donors as well as dollars of giving.
Classification: Mid-Management, Non-Exempt/Non-Bargaining Unit
Reports To: Director of Advancement
Supervises: Foundation Volunteers and Student Workers
Principal Working Relationships: Director of Advancement, Foundation Board, Alumni Relations Specialist, Alumni, donors and students
Major Responsibilities
1.  Coordinate a comprehensive stewardship program that appropriately and consistently promotes interaction with and recognition of donors, resulting in growth in numbers of donors and donor dollars.
2.  Serve as the official contact for the Scholarship and Donor Programs.
3.  Update and maintain database records ensuring all data is accurate and reliable.
4.  Identify, cultivate, solicit and provide stewardship to scholarship and donors. 
5.  Oversee the scholarship program, working with student services and financial aid to ensure appropriate and timely awards, and managing communications with donors about their recipients and funds.
6.  Plan, organize and implement special events for scholarship awardees, donors and friends, including, but not limited to, the scholarship reception.
7.  Ensure the Foundation maintains a high level of transparency and accountability by providing regular updates on the status of endowment donors’ philanthropic investments.
8.  Maintain positive on-going communications with scholarship donors via direct mail, social media and face to face contact.
9.  Maintain updates to scholarship and donor communication media including the Foundation website.
10. Implement the creation of brochures, posters, newsletters, etc. in order to communicate with scholarship potentials and donors, while working cooperatively with marketing personnel.
11. Maintain confidentiality of sensitive alumni, student, employee and donor data.
12. Develop strategies for donor growth in numbers and dollars based on the departmental and institutional key performance indicators.
13. Other duties as assigned.
Assist With
1.  Preparation for Foundation Board meetings and attendance of all quarterly meetings of the Foundation Board.
2.  Support to the Director of Advancement for all development activities.
3.  Public speaking activities to various community groups and individuals in order to promote scholarship functions for the College and the Foundation.  
4.  Preparation of annual Foundation budget and provide regular analysis of program revenues and expenses. 
5.  Compilation of data and assist with the creation of the Foundation’s annual giving report, donor newsletters, solicitation letters, etc. 
6.  Coordination of the annual scholarship program.
7.  Assist with departmental assessment and establishment of key performance indicators based on the strategic plan.
Risk Management and Loss Prevention Activities
1.  Actively participate in and carry out activities in support of the college Risk Management Program in a capacity appropriate to this position.
2.  Monitor conditions, events, and circumstances present in the college operation to avoid potential torts or injuries to students, staff, or the general public, then communicate observations to the appropriate supervisor and/or Risk Management Committee.
3.  Maintain a working knowledge of the college’s emergency procedures and how to operate emergency phone systems; including internal/external call boxes.
Minimum Necessary Skills, Experience, and Educational Background
1.  Bachelor’s degree or 120 semester hours’ college credit or specialized related training and four years related experience required.
2.  Knowledge of fund-raising principles, donor relations and/or volunteer management preferred.
3.  Ability to manage complex, multiple activities and meet time-sensitive deadlines.
4.  Ability to manage a flexible schedule as Foundation/scholarship activities will include evening and weekend assignments.
5.  Ability to communicate effectively both orally and in writing. Good spelling, grammar, and proof reading skills required. Public speaking skills required for group presentations.
6.  Exhibit interpersonal skills in working relationships with persons contacted in the course of performing assigned duties, including administrators, faculty, staff and students. 
7.  Exhibit working knowledge of computer systems, including Word, and Excel. Knowledge of publishing, fundraising database and gift entry software preferred. 
8.  Valid driver's license required.
Physical Requirements to Perform Job Function
1.  Basic dexterity skills (computer work and telephone).
2.  Some light lifting (20 lbs or less).
3.  Sitting for sustained periods of time.
