Operations Supervisor


The Operations Supervisor will coordinate and manage operational functions for our high-volume multi-specialty clinic providing services to children with special healthcare needs. This team member will also provide leadership for efficient and effective operation workflow, customer experience, billing, and regulatory compliance.

What You'll Do

Operations Process Supervision
  • Provide supervision of excellent customer service, patient scheduling, registration, front office billing and credentialing for all clinic services.
  • Develop, implement and maintain clinic operations processes and procedures. Evaluate and implement process improvement for increased efficiency and improved customer service.
  • Collaborate with HIM team to ensure record requests are processed timely and accurately.
  • Ensure clinic record requests are processed timely and accurately.
  • Collaborate with HIM supervisor, clinical support supervisor, team leads and managers to integrate clinical and operational needs.
  • Responsible for operational EHR processes and system management.
  • Oversee supply management (Clinic, Housekeeping and Office Supplies).
  • Oversee facility management (snow removal, contacting landlord or facility support as needed).
  • Ensure all operational processes are current, documented and implemented.
  • Delegate operations tasks to staff appropriately.
Quality Control and Risk Management
  • Perform internal policy and quality reviews, manage compliance with outside regulatory bodies.
  • Serve as a resource and demonstrate leadership regarding HIPAA, PHI and regulatory requirements.
  • Periodically monitor clinic operations processes based on establish standards.
  • Work in conjunction with appropriate staff to meet and monitor standard compliance for CARF accreditation requirements
Business Functions
  • Coordinate with ChildServe administrative services to ensure accurate, timely and complete information to support all business functions.
  • Work with billing department and operations manager in assessing, planning, implementing and evaluating process changes to ensure timely filing of insurance and collections of payments.
  • Assure achievement in administrative budget results.
Leadership
  • Hire, train, and manage performance and development of operations staff to promote strong engagement, performance, and partnerships.
  • Facilitate onboarding tasks in coordination with Human Resources for clinic staff. Complete orientation and training requirements for staff. Ensure staff complete assigned training.
  • Ensure appropriate staffing to facilitate operational success.
  • Complete leadership functions such as process payroll timely and accurately, performance reviews, and related functions.
Staff and Environmental Safety
  • Oversee the staff and environmental safety protocol at the Iowa City area facility(ies). Ensure drills, emergency procedures, and other safety program requirements are met. Represent the Iowa City area location on the organizational Safety Council, per Charter requirements.

What You'll Need
  • B.A. or B.S. degree in healthcare, healthcare management/administration preferred; experience can be substituted for education.
  • 2-5 years office/administrative experience, including customer service and process improvement. 
  • Multidisciplinary clinic operation coordination experience required.
  • Supervisory experience strongly preferred
  • Knowledgeable in and able to implement healthcare operation applications and practice management standards. Medical coding knowledge.
  • Practical understanding of compliance and quality improvement; proven system/process development and implementation experience. Ability to develop, interpret and follow applicable policies and procedures.
  • High degree of professionalism. Leadership skills.
  • Ability to communicate in English effectively for understanding, in writing and verbally.
