Position Type: Full Time, non-exempt

Salary: $16- $17/ Hour

Position Overview:
  • The HUD Program Assistant provides office support to multiple departments within the HUD programs including all clerical duties, client interaction and Administrative support.

Essential Functions:

  • Enter all required HMIS / ETOi information and ensure its accuracy.
  • Update and monitor all client files and organization file room.
  • Generate all required reports and review for accuracy including monthly internal audits, Tenant Roll, and staff meeting minutes.
  • Responsible for all aspects of work order process and follow-up with staff and property management.
  • Facilitate outreach services in the HUD office. This includes providing for the urgent physical needs of clients, completing assessments, providing referrals, maintaining outreach client files, and attendance to county meetings as required. 
  • Receiving client monthly rent payment and maintaining housing files.
  • Daily support of all HUD staff members including staff and off-site meetings.
  • Maintain daily client contact.
  • Enter data into ETOi/HMIS within 48 working hours of receiving data.
  • Respond to staff and client needs.
  • Work independently.
  • Maintaining inventory of outreach supplies and preparing supply orders as needed. May be asked to pick up orders from various vendor locations.
  • Other duties as assigned.
  • This position will interact with clients and maintain confidentiality of clients on a consistent basis.
 

Position Requirements:

  • Maintain valid California driver’s license, insurance and a good driving record.
  • Demonstrate quality interpersonal and communication skills.
  • Maintain organized client file and food safety standards.
  • Ability to relate to a diversity of individuals and their needs as they apply to homelessness.
  • Ability to proficiently use Word, Outlook, and Excel.
  • Ability to write clear, concise e-mails.
  • Ability to apply common sense when carrying out instructions or when making logical decisions.
  • Ability to deal with problems involving mathematical variables.
  • The employee must regularly lift or move 25 to 40 pounds.
  • The employee is frequently required to stand, walk, lift, drive and effectively use a computer for reporting daily.
