People Operations Specialists

Description
The ideal candidate is passionate about the employee experience and excited to have a meaningful impact on our team. The person in this position will work closely with the Director of Operations and the People Operations team to provide comprehensive support to our growing team by managing day-to-day operations of our employee onboarding process. This position is for candidates who will thrive in a fast-paced environment that is scaling systems and processes. We’re seeking an enthusiastic team member that enjoys working in a fun atmosphere and is willing to roll up their sleeves to tackle a variety of projects as they arise.

Essential Functions
People Operations 30%                                                         
  • Deliver exceptional customer service resulting in a positive employee experience as they transition onto the Evergreen team.
  • Responsible for creating, sending, and saving offer letters, employment agreements, extension offers, and new project offers to consultants.
  • Support efforts to complete onboarding tasks such as: processing background checks, scheduling drug screens, verifying requirements, etc., prior to uploading to VMS.
  • Maintain employee personnel files and human resources database to support data integrity (Bullhorn and Salesforce).
  • Assist with sending welcome and life event gifts.
  • Assist and back-up to human resources department as needed.

Vendor Management System (VMS) Administration - 30%
  • Accountable for being the subject matter expert for each VMS within the client team system portfolio.
  • Responsible for set-up, administration and maintenance of vendor management systems used by our clients or their Manage Service Providers (MSPs).
  • Own VMS requirements and deliverables by working closely with the Client, Consultant and Corp teams to ensure each consultant is onboarded and offboarded on time.
  • Liaison between each VMS and Bullhorn, specifically the creation of placement records while verifying against the verbal offer and information available in the VMS.
  • Manage VMS time and expense submissions on behalf of the consultant into Salesforce, ensuring accuracy for invoicing and consultant payments/reimbursements.

Administration and Project Support – 30%
  • Assist in the development and improvement of processes, procedures, and policies in alignment with Evergreen’s mission and values.
  • Assist in coordination of people operations infrastructure: systems, processes, and programs.
  • Coordinate and assist with company-wide programs and special projects.

General – 10%
  • Uphold company mission and values through accountability, innovation, integrity, quality, and teamwork.
  • Protects organization by keeping information confidential.
  • Increases job knowledge by participating in educational opportunities.

Qualifications
Required Qualifications
  • Bachelor's Degree with one or more years of related experience.

Other Qualifications
  • Knowledge of Microsoft 365 products: Word, Excel, PowerPoint, and Outlook.
  • Knowledge of informational systems and software applications (Paylocity, Salesforce).
  • Ability to establish and maintain effective working relationships with diverse groups of team members, managers and vendors required.
  • Ability to contribute to a positive working environment.
  • Experience coordinating and executing organizational processes.
  • High attention to detail is required.

Travel Requirements
Occasional travel up to 5% per year.
