EXECUTIVE DIRECTOR, INC. CLIENT ASSOCIATION: American Academy of Emergency Medicine, AAEM
POSITION(S) REPORTS TO: Executive Director, AAEM
POSITION(S) THAT REPORT TO YOU: N/A
EXEMPT/NON-EXEMPT EMPLOYEE STATUS: Exempt (minimum of 37.5 hours/week)

GENERAL SUMMARY
Provide high-level administrative management/support to the AAEM Executive Director and the Academy’s Leadership. Position maintains high level of responsibility and must maintain confidentiality, exercising discretion and sound independent judgment in performing assigned tasks. Ideal candidate will have impeccable communication skills, a high attention to detail, is organized and adaptable to changing needs. This position works closely with the Executive Director managing all administrative aspects of the AAEM Committees. This position will also manage the Chapter Divisions of the Academy.

POSITION RESPONSIBILITIES
  • Prepare for the AAEM board meetings and manage other administrative duties for the Board of Directors, including the preparation of board packets, letters, drafting minutes, reconciliation of travel reimbursements for leadership and assisting with maintaining the Board Reference Manual.
  • Mange availability and scheduling for AAEM President Leadership meetings, conference calls, including agenda preparation and meeting minutes.
  • Maintain committee, interest groups, sections and chapter division database and provide rosters to staff and leadership.
  • Provide support for the development and deployment of committee interest forms to the Academy’s membership.
  • Manage committee appointment process and annual administrative tasks, including maintaining the Committee Reference Manual.
  • Serve as the staff liaison to the Academy’s Chapter Divisions to achieve objectives, including, but not limited to, development of reports, agendas, minutes, timelines, action plans, correspondence, planning of events, and other presentation materials.
  • Assist with the accuracy and appropriate maintenance of the Academy’s Policy Manual, Procedure Manual and Self-Audit in accordance with leadership approvals and changing needs.
  • Work with internal departments (IS, TS, CS, Mail, Accounting, etc.) as needed for AAEM projects.
  • Prepare and edit correspondence, communications, presentations and other documents.
  • Assist with editing AAEM documents.
  • Assist Executive Director with additional projects.
  • Other duties as assigned.

BUSINESS NEEDS & TRAVEL REQUIRED:
Some early morning, evening, and weekend work may be required. Travel will be approximately two to four weeks per year.

EDUCATION/EXPERIENCE REQUIRED:
Bachelor’s degree preferred. Proficient in Windows, MS Word and MS Excel. Experience with MS PowerPoint, and iMIS and/or MS Access a plus. Oral, written, organizational and proofreading skills essential.

PHYSICAL REQUIREMENTS: (example – lifting, packaging, etc.)
Occasional lifting of up to 50 pounds may be required.
