Position Title: Events Coordinator
Location: West Allis, WI with 60% remote work
Reports To: Marketing & Development Manager
Status: Part-time (20 hrs / week)
Pay: $16-$18 / Hour, DOE

Summary:
The Down Syndrome Association of Wisconsin is a statewide, volunteer-driven non-profit organization dedicated to advancing the lives of individuals with Down syndrome and related disabilities and their families through awareness, education, information, programs, services, and the exchange of ideas and experiences.

DSAW provides programs and services throughout the lifespan (Parent’s First Call for new and expectant parents, children’s services, adult services, vocational services, and aging services), as well as educational opportunities and events.

The Events Coordinator will be responsible for planning and implementing both family and fundraising events in Southeastern Wisconsin. Successful candidates are extremely positive, energetic, and have a passion for helping individuals with Down syndrome and other special needs to achieve amazing lives. As a face of the organization, successful candidates will be extremely outgoing, detail-oriented, tech-savvy, and able to work nights and weekends in support of events. Project management, event planning, self-direction, and writing skills are important; attention to detail and follow-through are a must. Key attributes are a genuine love of working with people, ability to take direction and constructive feedback, and a desire to give 100% every day on behalf of individuals with special needs. Successful candidates will have a positive track record of responsibility and operations for similar organizations or individual efforts.

At this time, the Events Coordinator position is for 20 hours/week, but there is room to grow both in the hours/week available and in position title.

Essential Functions and Responsibilities 

  • Event Planning and Implementation
  • Take ownership of the planning and implementation of monthly fraternal events in Southeastern Wisconsin, including the Valentine’s Dance, World Down Syndrome Day Event, Family Brewer’s Outing, Family BBQ, Halloween Dance, Holiday Party, and more
  • Complete specific tasks which may include reserving facilities, purchasing supplies, and collaborating with other partners
  • Send reminder emails to participants registered for events
  • Manage volunteers for programs and events in Southeastern Wisconsin
  • Plan and host monthly virtual events for families around Wisconsin
  • Other event and program support duties as assigned

  • With the direction of the Marketing and Development Manager, plan and execute the annual Golf Outing (August 11 in 2021, always a Wednesday in August) and Statewide Down Syndrome Awareness Walk (4th Sunday in September) in Southeastern Wisconsin
  • Solicit donations and monetary sponsorships
  • Print and send sponsor and participant mailings
  • Put together raffle baskets
  • Purchase supplies
  • Manage volunteers
  • Other event duties as assigned
  • Candidate must be available on the event day and in the 3-4 weeks leading up to our two biggest fundraising events

Education/Experience
  • The minimum education level for this job is a high school diploma, with a BA/BS in a related field preferred.
  • Applicant must have a valid Drivers License in the state of Wisconsin, and should have access to a reliable vehicle with adequate insurance coverage.
  • Applicant must be willing and able to regularly lift at least 50 pounds for event and program support.
  • Applicant must be able to pass a caregiver background check, credit check, and driver’s license background check.
  • Applicant must be able to work two Saturdays/Sundays per month, on average. Other night and weekend hours may be required, especially during our busy season of August – October.

Compensation
Given that the Down Syndrome Association of Wisconsin is a non-profit organization that is not engaged in the production of goods or services, the Fair Labor Standards Act (FLSA) and Wisconsin overtime law does not apply to DSAW employees. Nonetheless, this is an hourly position. Hours will be paid for time working both directly and indirectly. Compensation will be reviewed on an annual basis, with changes to be made at the sole discretion of the DSAW Board of Directors.

This is a part-time, hourly position (average of 1,040 hours per year) where typical work hours will be 20 hrs/week on average. Our busy period is during the late summer and early fall months (August through the end of September) and you may need to be available to work up to 30 hours per week during these busy times. In the slower months, you may be asked to work fewer hours per week to cause the total number of hours worked to be approximately 1,040 hours for the entire year. Employee will be able to work with supervisor to set their work schedule.

As part of the hiring process, candidate will have a 90-day probationary period. During this time, the candidate will be able to utilize floating and set holidays. Candidate will accrue PTO during this time, but will not be able to use it until after the probationary period.
