Consent Coordinator

This position provides assistance to physicians, providers, and patients for the preparation of consent packets. They are responsible for processing and tracking of pre-transplant, Immunotherapy, Seattle Cancer Care Alliance (SCCA) clinical and other research consents.


Responsibilities

  • Support SCCA Bone Marrow Transplant, Bezos Family Immunotherapy Clinic, SCCA Long Term Follow Up (LTFU), and Fred Hutch Research Coordinators
  • Track new patient and donor arrivals via emails, Gateway and Epic
  • Check Patient Information Sheets (CCO Sheets) for all eligible research studies for patients and donors
  • Prepare consent packets one day prior to arrival, include all HIPAA and clinical care consents. Print patient labels and attach to SCCA clinical consents. Research consents are printed from either FYI or the Clinical Trials Management System (CTMS)
  • After arrival conference, verify signed consents are complete with signatures and correct dates. Follow up with Teams for any consent issues.
  • Track all consents on tracking spreadsheet
  • Enter all consents in Gateway, including any signed or refused consents
  • Prepare for Data Review conferences by checking outstanding consents to ensure they are the current version. If not, re-print and present to the Team.
  • SCCA clinical consents and Fred Hutch research are scanned through Express Scanner, loaded in EPIC for immediate view
  • Communicate with Research Staff on consent status for their studies
  • Email all consents to Data Management for uploading into OWL
  • Make a copy of all consents for patient’s or donor’s mailbox
  • Track all patients that are admitted to the hospital prior to consent conferencing (Direct Admit). Ensure all consents are signed and tracked.
  • Work with Transition Nurses when needed
  • Ensure Pre-Therapy Checklists are complete after data review conference, scan and send to appropriate staff
  • Liaison with Fred Hutch data management and Study Coordinators for reconciliation of signed consents tracking within the SCCA and Fred Hutch systems
  • Attend departmental meetings


Qualifications

  • Associate of Science required
  • Registered health information technologist (RHIT) or a four-year degree
  • Minimum of one year in a healthcare environment
  • Knowledge of health information systems, medical terminology, computer software and database fundamentals
  • Strong organizational and time management skills, and ability to multitask
  • Excellent verbal and written communication skills
  • Knowledge of clinical trials management systems preferred
  • Prior clinical research experience preferred
