Finance Associate

Organization: Wallin Education Partners (Wallin EP) is a college completion program which focuses on ensuring post-secondary success for underrepresented Minnesota students. Primary Responsibilities:The Finance Associate is responsible for performing financial duties in the areas of scholarship disbursements, month-end and year-end processes, internal controls and audit support, human resources, other related accounting duties, and support to the Director of Finance as requested.  

Scholarship Disbursement Process Coordination (25%) 
  • Work directly with financial aid and business offices at scholars’ institutions to ensure timely disbursements, and to maximize Wallin scholarships in meeting student need. 
  • Work with Scholar Programs to plan and coordinate fall, spring, and summer disbursements. 
  • Develop a streamlined process for sharing disbursement timeline with institutions, students, and advisors and respond to scholar account-related questions. 
  • Prepare accurate and detailed disbursement reports for outsourced accounting staff for timely payment to institutions. 
  • Maintain scholar financial tracking data and scholar payment status including data entry and reconciliations across accounting and scholar program systems to ensure integrity of scholar balances. 
  • Record refunds or change in scholar status as needed. 
  • Prepare semi-annual report on discontinued or graduated scholars with remaining balances to be reallocated/credited to donor partners. 
  • Maintain the policies and procedures to ensure timely processing, communications, and the accurate distribution of scholarship funds. 

 Month-end and Year-end Processes (30%) 
  • Perform monthly reconciliations including scholar balances, cash receipt logs, and restricted and unrestricted contributions. 
  • Maintain electronic accounting records and supporting documentation for deposits and expenditures including contracts for professional services and W-9’s for vendors. 
  • Prepare periodic budget informational reports for program leadership for analysis and planning purposes.  
  • Perform grant accounting duties including assisting with preparing grant budgets and preparing and submitting financial reports to grantors. 
  • Prepare monthly journal entries including allocation of core mission support across programs, and releases of restricted funding. 

Internal Controls and Audit Support (25%) 
  • Maintain and support internal control processes and documentation. 
  • Review employee reimbursements and credit card reports, expense authorizations and other expenditure requests for compliance with internal control protocols prior to processing. 
  • Assign account numbers, grant-funds identification, and other information to expenditures and submit to bill pay system for weekly processing. 
  • Prepare annual revenue and support confirmations; schedules including functional expenses and Form 990 compensation; and other documentation in support of audit processes.  

Human Resources (10%) 
  • Assist with administration of onboarding/termination/status changes of staff including deployment and tracking of information technology. 
  • Perform periodic time studies for budget planning and cost allocation analysis and adjustment. 

Special Projects (10%)  
  • Complete projects as assigned by Director of Finance. 

Minimum Qualifications and Experience: 
  • Bachelor's degree in accounting, business administration with an emphasis in accounting, or other area related to the position; or Associate’s degree and two-years of experience. 
  • Experience with accounting software, Microsoft Office applications, and databases. 
  • Demonstrated commitment to collaboration and communication.  
  • Demonstrated quantitative and analytical skills. 
  • Highly organized, detail-oriented, and self-motivated individual.  

Preferred Qualifications and Experience: 
  • Nonprofit accounting experience. 
  • Experience with Quickbooks.

Compensation: $45,000 - $55,000 annually
