International Writing Program Residency Assistant

The International Writing Program (IWP) seeks a part-time Fall Residency Assistant. The Fall Residency is a 10-week long program for 30 international writers to spend time in Iowa, writing, researching, and engaging in culturally significant activities. The Fall Residency assistant will work directly with the Fall Residency Coordinator and other staff of the IWP to facilitate program needs prior to, during, and after the writers depart. Time & pay: $17.30/hourly, at least 20 and up to 40 hours/week, beginning ASAP continuing through October, with the possibility of some (fewer) hours in November. This is strictly an in-person position.

Required Qualification:

A valid US driver’s license, driving record subject to UI Fleet Services requirements (a minimum of three years, if that period includes licenses from other states, will need access to the number for review).

Required Qualification:

Availability to occasionally work a varied schedule, including evenings and weekends, is required.

Key Areas of Responsibilities

Logistics & Event Coordination:

·     Arrange travel: internationally for visa acquisition and traveling to Iowa City

·     Assist event coordination and manage details (room reservations, Zoom management, event space setup, food orders, etc.)

·     Document participation and assist with social media promotion

·     Hire & train IWP Motor Pool (Including orienting drivers on UI Fleet Services pick-up & drop-off and fuel purchasing)

·     Provide assistance for group travel and events (airline, bus, shuttle, and event tickets purchased; map & directions created and distributed to drivers)

·     Assist participants in scheduling COVID tests for travel and as needed.

·     May include overnight trip and airline travel within the US

Information Management:

·     Create weekly transportation schedule (including driver & staff schedule and vehicle reservations); follow up with drivers to track writer event participation and attendance

·     Archive and organize digital files

·     File and organize print materials from past and current residencies, as directed by IWP staff

·     Track flight budgets and file receipts for Residency purchases

·     Contribute to writing program participant reports

Leadership / Supervision:

·     Provide functional and/or administrative supervision of interns/staff.

·     Provide direction, assignments, feedback, coaching, and counseling to assure events are managed successfully, people are transported safely.
