Student Administrative Assistant - Department of Psychiatry - Finance and Research Office

The Department of Psychiatry is seeking an Undergraduate Student to assist their Finance and Accounting Office. This position will assist through a variety of office and administrative tasks which ultimately enhances the abilities and efficiencies of our faculty, physicians, and staff with their research and patient needs. This is an excellent opportunity to expand computer proficiency, hone technical skills, and enhance multi-tasking skills by working with an experienced administrative and financial team. The successful student assistant must demonstrate professionalism and the desire to be a team player through helping other department staff whenever possible.

 

TIME COMMITMENT: 10-20 hours per week. M-F, 8-5 hours only. Class schedules are taken into consideration. Those with larger blocks of time (3-4 hours) of availability are preferred.  Potential for working up to 40 hours/week during summer break.

 

START DATE: ASAP

 

Essential Duties and Responsibilities:

  • Prepare monthly financial summaries for grants
    • Matching balances to University systems to ensure accuracy
    • Gathering additional detail on expense items
  • Create invoices from payment report
  • Review patient billing reports
  • Create reports for tracking departmental productivity
  • Assist with budgeting of grant submissions
  • Assist with effort reporting schedules for the fiscal year
  • Update monthly departmental reports
  • Prioritize workload to accomplish monthly assigned tasks
  • Answer phone and transfer calls to the appropriate office(s)
  • Greet and provide assistance to visitors
  • Assist with large mailings
  • Formatting documents
  • Dictation
  • Updating Biosketches and CV’s
  • Assist with grant submissions
  • Assist with travel reimbursements
  • Other administrative clerical and computerized tasks as needed

 

Required Qualifications 

Knowledge of accounting concepts

Proficiency in Microsoft Word and Excel

Demonstrated attention to details, organization, and accuracy

Excellent verbal and written skills

Must be dependable and demonstrate a desire to work and learn on the job

Display a pleasant public demeanor and ability to get along well with others

Background experience in accounting and a Major in accounting or related fields are desired. 

 

Rate of Pay: $10.00/hour
