Jira/Agency Move Coordinator (Management Analyst 3)

The Administrative Services Division within the Department of Ecology is looking to fill the Jira/Agency Move Coordinator (Management Analyst 3) position. This position is located in our Headquarters Office in Lacey, WA. Upon hire, you must live within a commutable distance from the duty station.

In this role, you will serve as a consultant/coordinator/administrator to the Administrative Services Division (ASD) in support of Ecology Service Center-JIRA. You will be responsible for researching, analyzing, evaluating, and making recommendations for selected management issues crossing organizational boundaries with a focus on work orders and facility management needs. You will also be the agency lead and subject matter expert (SME) for our MAC (move/add/change) process and will lead and work with all the program/region service coordinators across the agency. This position serves as Administrative Services SharePoint (SP) Site Collection Administrator. You will be responsible for the oversight of the site collection and will assist our program SharePoint site owners to enhance the effective and efficient security management of SP services based on agency polices and best practices. You will ensure that SP is used in a way that protects and promotes agency information allowing for effective access to information for employees. Each job task gives you the opportunity to learn about the different programs and jobs within Ecology.

Tele-work options for this position: During the initial onboarding and training process, you will work at our Headquarters Office 5 days each week. Once training has been completed, you will be eligible to work from home 2 days each week.

Duties

 

 

 

 

What makes this role unique?

This role is unique in the way that it interacts with all of the programs in the agency. In this role, you will work with staff to ensure that the work orders are being completed in a timely manner. 


What you will do: 

  • Manage service requests submitted by staff and tenants; dispatch sub-tasks related to MACs to appropriate person to complete, track and manage work orders; assist, instruct, and verify the completion of work orders by Staff Services and facilities staff.
  • Run and review analytical reports and present to Administrative Services. 
  • Research, analyze, evaluate, and make recommendations for selected management issues crossing organizational boundaries with a focus on work orders and facility management needs. 
  • Division Management on service requests and provide recommendations for process workflow; work orders and assigned work to staff.
  • Manage and lead the Move, Add, Change (MAC) process across the agency.
  • Develop processes, guidance, requirements, and assistance to program/region service coordinators across the agency. 
  • As the Administrative Services SharePoint (SP) Site Collection Administrator, you will be responsible for the oversight of the site collection and will assist our program SharePoint site owners to enhance the effective and efficient security management of SP based on agency polices and best practices to ensure that SP is used in a way that protects and promotes agency information allows for effective access to information for employees. 
  • Assist the program public disclosure coordinator in searching SP in response to public disclosure requests and document accessibility.

 

 

 

Qualifications

Required Qualifications:
Years of required experience indicated below are full-time equivalent years. Full-time equivalent experience means that any experience where working hours were less than 40 hours per week will be prorated in order to meet the equivalency of full-time. We would calculate this by looking at the total hours worked per week, divide this by 40, and then multiply by the total number of months worked. Examples of the proration calculations are:

 

  • 30 hours worked per week for 20 months: (30/40) x 20 months = 15 months full-time equivalent
  • 20 hours worked per week for 12 months: (20/40) x 12 months = 6 months full-time equivalent

Experience for both required and desired qualifications can be gained through various combinations of formal professional employment, education, and volunteer experience. See below for how you may qualify.

 

A total of seven years of experience and/or education as described below:
 
Experience conducting research and analyzing policies, laws, rules or regulations, formulating recommendations, manage move add change service requests, and coordinating implementation and ongoing evaluations of programs and strategic and long-range planning activities.


Education involving a major study in business administration, public administration, health administration, law, environmental law, finance, economics, statistics, environmental management, environmental or public policy, education, or related field.

Years of professional level experience – as listed above.

Combination 1; No college credit hours or degree; 7 years of experience.

Combination 2; I have 30-59 semester or 45-89 quarter credits; 6 years of experience.

Combination 3; I have 60-89 semester or 90-134 quarter credits (AA degree); 5 years of experience.

Combination 4; I have 90-119 semester or 135-179 quarter credits; 4 years of experience.

Combination 5; A bachelor’s degree; 3 years of experience.

Combination 6; A master’s degree or higher; 1 year of experience.


 
 Special Requirements/Conditions of Employment:  
 

  • Must obtain and maintain a valid driver’s license.
