Police Records Supervisor

Salary Range: $28.27 - $40.48 Hourly

Anticipated Hiring Range: $28.27 - $35.82 Hourly

Job Summary:

The Police Records Supervisor acts as a first line supervisor who supervises components of the Records Section operations; schedules staff; evaluates performance of personnel; processes City license applications (e.g., security guard and pawn broker); completes NIBRS coding for the RMS agencies; conducts quality control checks; transcribes dictated police reports; processes written reports, forms, and documents, verifying that all necessary information is included on the forms; responds to inquiries and requests for service from the public and department personnel; enters, maintains, confirms and completes quality control reviews of warrant records for Greeley, Weld County as well as surrounding municipal agencies. 

Experience, Knowledge, Skills:

Minimum Requirements

  • High School diploma or equivalent.
  • One (1) to Three (3) years' experience working in the records unit of law enforcement or comparable or equivalent. combination of experience and education.
  • Valid Drivers License with safe driving record.

Preferred

  • Bilingual in English and Spanish highly desired.
  • Equivalent combinations of education and experience may be considered.
  • One (1) to Three (3) years' prior supervisor experience desired.

Knowledge, Skills, and Abilities

  • Ability to attain and maintain CCIC/NCIC/NIBRS certification.
  • Ability to maintain Notary Public certification.
  • Ability to maintain CJIS Security Awareness certification.
  • Knowledge of the business and organizational structure of Colorado municipalities.
  • Collaboration skills, including the ability to work with others from different areas and backgrounds to reach a common goal.
  • Computer skills, including the ability to utilize Microsoft Office programs (i.e. Word, Excel, PowerPoint, Outlook, etc.) and learn and experiment with new software and systems.

Essential Functions:

  • Accurately transcribes dictated police reports into written or digital form.
  • Reads and understands written reports.
  • Draws conclusions based on verbal or written reports for coding purposes.
  • Accurately types 50 wpm or more.
  • Provides service to wide range of customers.
  • Effectively assists in the development and implementation of new policies and procedures.
  • Provide training to staff of other agencies (ex. Greeley Police Department, Weld County Sheriff) in the areas of MARS, CCIC, NIBRS, Tiburon, criminal history queries, etc.
  • Maintain positive, effective working relationships with other Data Coordinator II, subordinate staff, employees of other agencies and departments.
  • Learn, accurately interpret, and follow state and local laws and statutes regarding the maintenance, release, and retention of criminal records.
  • Follow verbal and written instructions.
  • Communicate accurate information to co-workers and the public.
  • Learn the policies and how to operate a variety of computer systems (RMS, CCIC/NCIC/DOR/Co Courts)
  • Other duties as assigned.

Supervisory Responsibilities

  • Develop goals and criteria for performance for subordinate employees.
  • Effectively communicate goals, performance expectations, and evaluation of performance to subordinate employees.
  • Effectively evaluate the performance of subordinate employees.
  • Effectively instruct subordinate employees in new procedures.
  • Effectively interpret and communicate policies and procedures to subordinate employees.
  • Work with other supervisors in developing an effective work schedule for unit.
  • Respond to daily staffing needs by evaluating available staff and assigning work accordingly.
  • Perform regular and random quality control checks to ensure accuracy and quality service and performance of subordinate employees.
  • Supervise operation of the Records Department which includes scheduling of all subordinate personnel.
  • Ensure equipment, software, and other tools used by employees are available and functioning correctly.
  • Find solutions to problems so staff have all resources necessary to be successful in their assignments.

Work Environment & Physical Requirements:

  • Work is primarily performed in an office environment.
  • Extended periods of time at a fixed workstation.
  • Frequent and inflexible deadlines.
  • Bid position in an office that provides 24/7 coverage; shift bidding is according to seniority on an annual basis; shift, weekend & holiday coverage required.
  • Work is performed in an open office environment with noise levels excessive at times.
  • Employee may be asked to drive personal vehicle for business purposes.
  • Employee is subject to working alone and/or with groups and/or attends meetings.
  • Employee may be required to conduct business in alternate locations within City buildings or field sites, sometimes in formal settings.
  • Employee may have frequent contact with the public--in person, via email/telephone, sometimes adverse or confrontational situations. Includes internal/external customers.
  • Employee is not substantially exposed to adverse environmental conditions--as in typical office or administrative work; work performed is sedentary.
  • Employee is subject to inside environment with protection from weather conditions but not necessarily from temperature changes.
  • Employee is subject to driving City vehicle in all weather conditions.
  • Environment is safe to having minimal hazards that are typically found in a general office environment where there is rarely little or no exposure to injury or accident.
  • Hearing must be sufficient to retrieve and transcribe police reports and to communicate with coworkers and customers.
  • Communication skills enough to convey information verbally, in writing, and on telephone.
  • The essential functions of this job require frequent hearing and repetitive motion; continuously sitting and talking; and occasional carrying/lifting light objects (25lbs), crouching, feeling, fingering, reaching, standing, and walking.
  • Mobility enough to stand, sit and move within a confined work area.
  • Employee is required to have visual acuity for close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
  • Manual dexterity sufficient to accurately input, retrieve and verify work assignments.

Travel:

  • This position could travel up to 5%.
