UHD - Catering Office Assistant

BASIC FUNCTION

Assist in the day-to-day operations of the University Catering Office, Sales Team, and Operations Team including, greeting appointments and visitors, answering phones, data entry for reports, maintaining incoming requests, typing up menus & event labels, restocking supplies, organizing equipment, cleaning equipment & work areas, and performing additional tasks as assigned.

RESPONSIBILITIES

  • Cheerfully answer phone and assist callers in a courteous and professional manner. 
  • Calmly assist worried customers with last minute requests or inquiries about completion of delivery/ set-up. 
  • Maintain communication in Engage with student organizations regarding their upcoming events. 
  • Perform detailed evaluation of incoming order requests, obtain missing information from clients & then process the order or transfer information to Sales Coordinators for order completion. 
  • Perform daily data entry for Hancher Event food sales and assist with daily payment processing. 
  • Update or create “mini menus” for various events, create event labels, assist with editing various Sales forms as requested. 
  • Compile and communicate daily changes and BEOs to catering team. 
  • Organize & maintain linen supplies, uniform supplies, and replenish & clean catering items to prepare for next event. 
  • Communicate event needs with locations.
  • Eagerness to perform other duties as assigned. 

QUALIFICATIONS

  • Enrolled as a student at The University of Iowa (during academic year). 
  • Excellent communication (verbal and written) and a commitment to GREAT customer service. 
  • Excellent email and communication skills as well as organizational skills.
  • Reasonable experience in using computers, including Word, Excel, PowerPoint, Adobe.
  • Reasonable experience in handling multiple assignments, conflicting demands or priorities.
  • Demonstrate and have a positive and respectful attitude for working with a diverse population.
  • Knowledge of University Dining procedures and policies is desirable but not necessary.

LOCATION

  • Iowa Memorial Union – 237 IMU

WORK HOURS

  • Monday through Friday, varying shifts allowed with a minimum of 3 hours per work shift is required. 
  • Approximately 12-20 hours per week. Preferred hours between 8am-12pm, 10am-2pm or 12pm-4pm. 
  • This position is limited to up to 20 hours per week (320 hours per semester). May work up to 40 hours per week during break periods (spring, summer, fall and winter) as assigned.
