Development Assistant

As a key partner on the Priority Initiatives development team, you will prioritize how each day will unfold. Your work will directly impact the team’s strategies, goals, and overall success. From putting the important finishing touches on donor messages to maximizing the efficiency of a donor visit, your role could be the difference between a simple interaction and a lasting impression.

Core Responsibilities include but are not limited to:

  • Provide administrative and operational support and leadership to the Priority Initiatives (PI) development program including project management, communication and stewardship support, documentation management, and office policies and procedures related to the college and the Foundation.
  • Assist with day-to-day operational aspects of the PI team. Provide calendar management, monitor supplies, process mail, monitor budget, cross train with other support staff to provide backup assistance in their absence.
  • Manage and expand mid-level/PI donor stewardship and engagement practices including frequent mail merge acknowledgement letters and partnering with the Donor Relations team.
  • Monitor accuracy of information in the database and work with Information Management department to maintain updated donor/prospect information.
  • Assist with finalizing, tracking, and distributing gift agreements, account set up, gift/pledge documentation, etc.
  • Assist with funding opportunity management. Develop processes for helping development officers maintain accuracy of funding opportunities, increasing closure rate and total closed gifts.
  • Oversee the processing of invoices and expense reports for development officers.
  • Research, develop, and coordinate travel bookings and reservations.
  • Support and aid in planning campus visits for individuals and corporations. Facilitate the development of background information, speaking points, and call objectives for campus visits.

Qualifications

Minimum Experience

  • 3 years of work experience related to employment area. Education may be substituted for years of work experience.

Desired Skills & Experience

  • Strong experience with word processing, databases, and spreadsheets (Microsoft Office suite) along with the ability to learn in-house computer systems.
  • Excellent verbal and written skills. Must be self-motivated and detail oriented with a high level of accuracy to effectively communicate with a variety of audiences.
  • Strong commitment to honoring donor intent and confidentiality to protect important, sensitive information.
  • Ability to multi-task and manage multiple initiatives with independence and effectiveness.
  • Strong team orientation, a dedicated work ethic, a mission- and service-driven mindset, and a positive and professional attitude.
  • Creativity, patience, a sense of humor, and a belief in our organizational mission of: Aligning donor passion and generosity to advance Iowa State University’s land grant ideals.

Travel: No travel required

FLSA Status: Non-exempt

Location: Ames, IA; potentially hybrid.
